Introduction

The Sanctuary SLC ("The Sanctuary," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, retain and protect the personal information of members, applicants and event participants ("you," "your") when you visit thesanctuaryslc.com, apply for membership, or use our member portal and related services (collectively, the "Platform").

Our member portal runs on Ivy, a platform operated by Trellis Stack LLC, which processes information on our behalf to provide the service. Its privacy policy is at https://www.trellisstack.com/privacy.html.

By using the Platform, you consent to the collection and use of your personal information as described in this Policy. If you do not agree, please discontinue use of the Platform.

Age Restrictions

You must be at least 18 years old to use the Platform. We do not knowingly collect personal information from anyone under 18. If we learn we have collected information from anyone under 18, we will delete it. Please contact us if you believe we may have inadvertently collected information from a minor.

Information We Collect

Member and applicant information: name, email address, mobile phone number, date of birth, photo, and other details provided during application or profile creation.
Background check information: criminal background check results needed to screen applicants for the safety of our members.
Event participation: records of attendance, ticket purchases, RSVPs and check-ins.
Usage data: IP address, device ID, browser type, page views, login history and feature usage.
Payment information: card or payment method details used for purchases, processed by our payment processor. We do not store full payment card numbers.
Communication data: messages you send us through our support chat or forms.
Cookies and similar technologies, described below.

How We Collect Information

Directly from you during application, event sign-up and communication;
Automatically when you interact with the Platform, such as usage and device information;
From third-party background check providers;
Through cookies and similar technologies.

Cookies and Tracking Technologies

We may use cookies, web beacons and similar tools to enhance your experience. Cookies help us authenticate your identity, remember your preferences and analyze Platform performance. You can control cookies through your browser settings; disabling them may limit some Platform features.

Do Not Track: we do not currently respond to browser-based Do Not Track signals, as there is no industry standard for doing so.

How We Use Your Information

To review applications and manage your account and membership;
To screen applicants for safety through background checks;
To plan and operate events, sell tickets and check members in;
To process payments securely;
To send account messages and, if you opted in, event and promotional texts;
To respond to support requests and communicate updates or changes;
To improve Platform functionality and security;
To comply with legal obligations or protect safety;
With your consent, for additional purposes such as surveys.

Text Messaging

If you check the optional event and promotional text box on our membership application, The Sanctuary SLC may text you about upcoming events, schedule changes and club news. This consent is optional and is not a condition of membership or purchase. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to cancel.

Account texts — sign-in codes, application updates, receipts and renewal reminders — are sent by The Sanctuary SLC and are covered by our Terms at https://thesanctuaryslc.com/terms.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Sharing of information is allowed solely with subcontractors providing support services, such as customer service.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

How We Share Your Information

We do not sell your personal information. We may share it with:

Trellis Stack LLC, which operates our member portal;
our service providers, such as background check providers, payment processors, and text message and email delivery providers;
law enforcement or government agencies, as required by law;
parties involved in a business transfer, such as a merger or acquisition;
legal counsel, auditors or insurance providers, if necessary;
others with your consent, or when needed to protect our legal rights or the safety of our members.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We are not responsible for the privacy practices of third-party websites linked from the Platform.

Membership Eligibility and Dispute Resolution

If your background check disqualifies you, we will notify you and offer the opportunity to dispute the result or request a review. If membership is ultimately denied, we will delete your data after any required retention period.

Your Rights and Choices

You have the right to:

access, correct or update your personal information;
request deletion of your information, subject to retention laws;
opt out of non-essential communications, including replying STOP to any of our texts;
dispute background check results;
request a copy of the personal information we collected automatically.

State Privacy Rights

Some U.S. states grant additional privacy rights, including California (CCPA), Texas (TDPSA), Virginia (VCDPA), Colorado, Utah, Connecticut and others. We do not currently meet the thresholds that require compliance with these laws, but we honor reasonable requests regarding personal information, including opt-outs and access.

International Users

The Sanctuary is based in the United States. If you access the Platform from outside the U.S., your information may be transferred to and processed in the U.S. or other countries that may not offer the same level of protection as your jurisdiction.

Data Security and Retention

We use industry-standard measures, such as SSL, encryption and access controls, to safeguard your information. No method of transmission over the Internet is completely secure; use the Platform at your own risk.

We keep personal information only as long as needed for the purposes described here or to meet legal requirements. Records of text message consent and opt-out are kept permanently. Publicly available or de-identified data may be retained indefinitely.

Changes to This Policy

We may update this Policy periodically. If we make material changes, we will notify you by email or on the Platform. Continued use of the Platform after changes are posted means you accept the updated Policy.
